PROCUREMENT AGENT
Job Requirements:
- Have 2 years of previous experience in procurement and or contracting field is required.
- Level IV (fluent) in speaking/reading/writing both in English and fluency in Bahasa Indonesia are required.
- Must be in depth knowledge of procurement and contracting process and procedures, and good knowledge of local market conditions to identify sources for broad range of products and services.
- Graduate S1 in Commerce, Business, Management, Liberal Studies or other related field is required.
- Must have good negotiation skill, able to work as a team player, able to deal with vendors and requestors from all levels, positive mental attitude, and creative in handling challenges, analytical skills.
- Must have knowledge of word processing and spreadsheet applications.
Job Description and Responsibilities:
The incumbent serves as a member of PCU FSN procurement staff who drafts, prepares, and negotiates contracts for supplies and services. S/He is responsible for ensuring services as received, supervises contractors’ performance when necessary and takes corrective actions, manages trainings, seminars and other events, works on non-routine projects, short term vehicle rentals and visits.
FINANCIAL/ADMINISTRATIVE MANAGEMENT
Job Requirements:
- Have 5 years of progressive experience in budgeting, financial management and administration, or closely related field is required, including one year of experience must be with an international organization.
- Level IV (fluent) in speaking/reading/writing English and Bahasa Indonesia are required, and able to translate short documents and correspondence from Bahasa Indonesia to English and vice versa.
- Must have knowledge of Indonesia’s banking laws, regulations, practices and familiar with internet based financial transactions and safeguards.
- Graduate S1 in Business Administration, Finance, Accounting or related field is required.
- Must have sound judgment, good planning skills and attention to details, and able to meet and deal with Volunteers, staff and public in a courteous and tactful manner.
- Must have the proficiency in the use of computers, word processing, spreadsheets and database programs, also able to type and familiar with other office machines.
Job Description and Responsibilities:
The incumbent works under the supervision of the Administrative Officer, manages the varying and dynamic financial operation of post; including creating of all financial obligations, payments, and collections for office vendors, foreign vendors, Volunteers, contractors, vehicles, and the Government of Indonesia. S/He responsible for maintenance of staff time and attendance records, staff contracts, and staff payroll and administer contracted benefits. Assists Administrative Officer in post budget management for post operations, regional medical evacuation hub, regional safety and security budgets, trains all new admin team staff on processes and operations of the post. The incumbent also qualifies and serves as alternate ‘class B’ cashier.
VOUCHER EXAMINER
Job Requirements:
- Have 2 years of progressively responsible experience in voucher examining, accounting, or closely related field as well as experience in using automated accounting software.
- Level III (good working knowledge) in speaking/reading/writing English and Fluency in Bahasa Indonesia are required. Must be able to comprehend and follow oral instructions and written guidance.
- Must have a good working knowledge and understanding of professional accounting principles, theories, practices, terminologies, laws, regulations and procedures.
- Graduate S1 in Accounting, Finance, Business Administration or closely related fields is required.
- Must have the capability to organize and prioritize work schedules.
- Must be computer literate with knowledge in internet, Microsoft Office along with productive calculator and typing speeds NLT 50wpm.
Job Description and Responsibilities:
The incumbent serves as Embassy Jakarta’s Voucher Examiner. Responsibilities include, but are not limited to, reviewing, examining and auditing vouchers and other miscellaneous claims for payments; assures that the claims submitted are in settlement of legitimate obligations incurred in compliance with established regulations; makes and responds to inquiries from employees/vendors regarding payment; also maintains organized and up-to-date payment files. In the absence of other personnel, this position may need to assist in providing adequate coverage. The job holder works under the direct supervision of the Supervisory Voucher Examiner.
